This article was developed based on the workshop held on November 3, 2022, by Ouvidor Digital, which dealt with Complaint Management and internal investigations in practice. Reporting channel as a tool for capturing reports cell phone number list with information necessary for the investigation process
The investigation process is based on a report made on a reporting channel. For this process to be carried out in the best possible way and without the risk of leaks or conflict of interests, it is necessary to establish principles that involve governance applied to the area of corporate investigations.
To ensure that there is no conflict of interest and also maintain the whistleblower's anonymity, the choice of the reporting channel must be made considering the resources offered by the tool.
How the reporting and management journey works
Firstly, the public, both internal and external, needs to know the channel. More than knowing what the access link is, it is necessary for stakeholders to know what it is, what it is for, what types of complaints can be made, how to identify misconduct and what is the difference between a complaints and an ombudsman. We don't want people to use the channel to gossip, do we?
Once knowing how to identify this type of situation, when witnessing or becoming aware of misconduct, the whistleblower can make a report on the reporting channel. On the other hand, the complaint is received by a specialist, who screens and curates the complaints to forward to the company's Investigation Committee.
Then, if the report is valid, the Committee conducts the investigation and treatment. The Digital Ombudsman Reporting Channel offers indicators to provide feedback on companies' integrity and compliance programs.
Complaint management vs. investigation
Not all reports made on the channel will trigger a corporate investigation. The screening is carried out by a team that will indicate whether the report is valid and subject to investigation, as there are complaints that can be investigated more simply by members of the company's Ethics Committee.
If the complaint involves conduct that could lead to legal proceedings against the organization, a more in-depth investigation with a specialized team, which can be outsourced, is necessary, explained Dr. Saavedra.
